00:00:00: Martin Boxman today, I want to talk about something i know every single one of us in practice management struggles with quality Management.
00:00:07: we're going to explore how you can take that documentation That binder on the shelf and turn it into a living breathing tool that your team will actually want To use.

00:00:15: A little too close to home?
00:00:16: You know The drill.
00:00:17: you spend a tremendous amount Of time energy And money to create This perfect qm manual and It just sits there.
00:00:24: This isn't Just a frustration you see.
00:00:26: it's a clear signal that the entire approach is fundamentally broken.
00:00:29: But the good news is we are not stuck with this outdated model.
00:00:32: There's a much better way to create standards that are genuinely useful, A way that actually empowers your team instead of just burying them in paperwork.
00:00:40: To show you what I mean let me share a personal story-a cautionary tale really.
00:00:44: When i first got serious about quality management About fifteen years ago...I did what most us do!
00:00:49: I aimed for absolute perfection right out of the gate.
00:00:52: I hired a specialized agency..I followed the ISO Standards to The Letter and You know What?
00:00:57: This, a single five hundred page manual.
00:01:00: The problem was it's completely generic!
00:01:02: It could have been for car factory not highly specialized orthodontic practice.
00:01:06: So what were the results?
00:01:08: A complete and utter failure.
00:01:10: The terminology is so overblown.
00:01:12: nobody understood it.
00:01:13: The instructions are so generic.
00:01:14: they're useless in our day-to-day work And honestly my team just too intimidated to even touch this thing had zero connection with clinical reality.
00:01:22: It took me two years to dismantle that binder, piece by piece.
00:01:25: But in doing so I learned probably the most important lesson of my professional career for work instructions to be effective they have come from your actual everyday practice not some template or a textbook.
00:01:35: So what's this solution?
00:01:36: Well it turns out its something we all carry around our pockets.
00:01:40: This leads us into simple incredibly effective and modern approach That uses very tools you're team is already using every day.
00:01:47: I call it one minute instruction.
00:01:49: It is exactly what it sounds like a short, highly focused video of one specific task.
00:01:54: We're not talking about some highly produced training video.
00:01:56: we're talking about something concise digestible and most importantly immediate.
00:02:00: And the process itself couldn't be simpler.
00:02:02: you see something that needs to be standardized.
00:02:04: You grab your phone?
00:02:05: You record this short process say The tray set up for indirect bonding or how To play some minion plant and share instantly.
00:02:10: That becomes the new standard.
00:02:12: Here's why This Is such A game changer.
00:02:14: It leverages both visual and auditory learning.
00:02:17: When your assistant can physically see the movements and hear you explain why you're doing it at the same time, their learning curve just flattens.
00:02:23: It is profoundly more effective than asking them to read dry static text.
00:02:27: Okay so let's talk about actually implementing this.
00:02:29: The most beautiful part of this whole system Is that your team already possesses all the skills they need.
00:02:34: You don't have teach in technology Just give permission To use existing talents.
00:02:38: I mean, think about your younger team members.
00:02:40: They grew up with this technology.
00:02:41: they are absolute experts at creating short form content for Instagram or TikTok.
00:02:45: we can channel that exact skill set For the good of practice.
00:02:48: The secret is all in how you frame it?
00:02:51: I tell my team Creating a work construction isn't a chore.
00:02:53: Think as making clear helpful professional post to colleagues.
00:02:57: It's communication and skills already value every single day And when do something truly amazing happens The fear of documentation, that feeling of oh no I have to update the manual.
00:03:08: It just evaporates!
00:03:11: The new way is a shared digital resource that's driven by the team's own evolution.
00:03:37: It's not a monument, it's movement of constant improvement!
00:03:41: And for those times when you do need something written down.
00:03:43: there are simple tools too – just use your phone's dictation feature…it turns speech into text instantly...you get an editable accessible record without the hassle typing or annoyance back and forth voice messages.
00:03:54: So I will leave with this one question to reflect on.
